Resource Works is committed to protecting your privacy. This Privacy Policy explains how we collect, use, store, and disclose your personal information when you visit our website, subscribe to our communications, or engage with us through events, webinars, or campaigns.

We are a public-interest advocacy and communications non-profit based in Vancouver, B.C., focused on advancing dialogue and transparency around Canada’s natural resource industry. Our website address is: https://resourceworks.com.

1. What personal data we collect and why

a. Comments

When visitors leave comments, we collect the data shown in the comment form, as well as the visitor’s IP address and browser user agent to help detect spam. An anonymized hash of your email address may be sent to the Gravatar service to see if you’re using it. The Gravatar privacy policy is here: https://automattic.com/privacy/.

Once your comment is approved, your profile picture (if applicable) will be visible to the public alongside your comment.

b. Cookies

We use cookies for functionality and performance:

  • If you leave a comment, you may opt to save your name, email, and website in cookies for future convenience (expires after 1 year).
  • Temporary cookies help determine browser compatibility during login.
  • Login and screen preference cookies may last up to two weeks if “Remember Me” is selected.
  • A cookie may also be set when editing or publishing content (expires in 1 day).

c. Email communications & CRM

We use HubSpot to manage our contact lists, email outreach, and engagement analytics.

  • When you sign up for updates or download content, we collect contact details (e.g., name, email, organization).
  • HubSpot uses cookies to track email opens, link clicks, and site activity.
  • We use lead scoring and segmentation to improve the relevance of our communications.
  • Inactive contacts are deleted after two years to ensure our records remain current.

All our emails comply with CASL, and include unsubscribe links and contact details.

d. Website analytics

We use Google Analytics to gather anonymized data on website usage, including:

  • Pages viewed and duration
  • Browser and device types
  • General geographic location (IP-anonymized)

e. Event registration

We use Eventbrite to manage event registration and Zoom to host webinars and virtual panels.

  • When you register for an event, Eventbrite collects your contact details.
  • When you join a webinar, Zoom may collect your name, email, and technical info (browser, IP, etc.).

We only access data provided through these services to administer events and communicate relevant follow-up information.

2. How long we keep your data

  • Comments and metadata are retained indefinitely to support moderation and follow-up.
  • CRM records are retained for up to 2 years and then deleted if no engagement has occurred.
  • Event and webinar data is retained for event administration and then securely archived or deleted.

3. Who we share your data with

We do not sell or trade your personal information. Data may be shared with trusted service providers (HubSpot, Google, Eventbrite, Zoom) solely for the purposes outline above.

4. Where your data is stored

Some of the tools we use (e.g., HubSpot, Eventbrite, Google, Zoom) store data on servers located in the United States. These services implement safeguards consistent with Canadian privacy laws (PIPEDA).

5. Your rights

Under Canadian privacy law, you have the right to:

  • Request a copy of the personal data we hold about you.
  • Request correction or deletion of your information.
  • Withdraw your consent at any time (e.g. unsubscribe from emails).
  • File a complaint with the Office of the Privacy Commissioner of Canada if you believe your data has been mishandled.

6. Data protection
